General guidelines and standards to generate E-invoice in Saudi Arabia

This article provides the guidelines for generating an e-invoice

HEADER SECTION

  • Invoice number – Any numbering series is fine but must consecutive without missing numbers (Arabic mandatory)
  • Invoice date – Mandatory given in the Saudi date format
  • Type of invoice – Tax invoice or Simplified Tax invoice or Credit Note or Debit Note must be mandatorily mentioned (Arabic mandatory)
  • QR Code – Location of QR code can be anywhere but it should contain (1) Seller name (2) Seller TRN no. (3) Invoice date and time in GMT (4) Invoice total with VAT (5) VAT amount.

Note: Please note that these parameters must be encoded into Base64 encryption and then converted into QR code

BUYER INFORMATION SECTION

  • Address of the Buyer in Arabic and any other language
  • Address should be valid as per the registration of your business
  • CR No., TRN no. and data of supply are mandatory fields
  • The label for these fields should be in Arabic mandatorily

INVOICE DETAIL INFORMATION

  • Description of the service or product, quantity, unit price, Net amount, VAT %, VAT amount is mandatory
  • Currency for amount fiels to be given

SUMMARY SECTION

  • Subtotal should be sum of all line items
  • Discount (if any) to be applied on the subtotal
  • Total Net amount will be the invoice amount without VAT
  • 15% VAT to be shown mandatorily
  • VAT amount will be calculated on the net amount
  • Invoice gross amount = Invoice net amount + VAT amount
  • If export transaction or intercompany transaction, the VAT % and VAT amount will be zero

FOOTER SECTION

  • Footer to contain the Seller information
  • Address of the seller as in the registration
  • Seller VAT no. and CR no. should be mandatorily given
